Step 1: Make sure every result is digital before the report exists

Most labs that "print reports" are not really printing-only — the results already exist somewhere digital, usually in the analyser. The problem is the gap between the analyser and the report, which is filled by a technician retyping values into a report template.

That gap is where errors come from. Before you think about delivery, close it: connect your analysers to your lab software so results land in the patient record directly. This also removes an entire manual step from every single test your lab performs.

If you have not done machine integration yet, read our guide on laboratory machine integration for what it involves.

Step 2: Generate reports from the system, not from a word processor

A report generated from the patient record inherits the correct patient details, the correct reference ranges for the patient's age and sex, and the correct previous results. A report retyped into a document inherits whatever the person typing it remembered.

In PathCare, reports are generated from pre-built templates — over 1000 of them — with your lab's header, footer, logo and signature layout. Previous results for the same test can appear alongside the current one, which is what referring doctors actually want to see.

Step 3: Deliver on WhatsApp rather than at the counter

This is the step with the clearest return. When a pathologist verifies a report, the PDF goes to the patient's WhatsApp automatically. Consider what that removes from your lab:

  • Printing costs for thermal paper and toner
  • Staff time spent handing over reports and answering status calls
  • The counter queue at peak hours
  • The patient's second trip to the lab

It also creates a record. You can see when a report was delivered, which is useful if a patient later says they never received it.

Step 4: Add QR verification

Once reports circulate digitally, forged copies become a real problem. A report with a QR code that opens the original record solves it: an employer, embassy or hospital can scan and confirm that the report in front of them is the one your laboratory issued.

For labs that serve visa applicants and corporate panels, QR verification is not a nice-to-have. It is often the reason a company chooses one lab over another.

Step 5: Give patients a portal, not a phone number

Even with WhatsApp delivery, some patients lose the message or want to check an old report. An online portal where a patient enters their patient number and password — or scans the QR code on their lab slip — removes that call from your reception desk entirely.

What this looks like in practice

A lab that completes all five steps typically sees reports reaching patients within minutes of verification, with no printing, no counter handover and no second visit. The staff time released at reception is usually the most visible benefit in the first month.

PathCare Solutions supports all five steps and starts from PKR 2,000 per month. You can see the details on our WhatsApp report delivery page or in the full LIMS feature list.
